Built for the classroom, with student privacy first

When a school board uses Crop Help, the board is the custodian of student information and STEM Minds Corp. acts as a service provider — processing data only on the board’s instructions, and only to run the class activity.

How We Protect Student Data

Crop Help is designed to collect as little as possible and to keep control with your board.

  • The board is in control. Your board decides how Crop Help is deployed. Student use is authorized by the board under Ontario law — not by individual parental sign-up.
  • We collect very little. Just the plant photos students upload and the diagnosis results. No student names, emails, or personal profiles are required.
  • Canadian data residency. Student data is stored and processed in Canada. We don’t move it outside Canada without your board’s written authorization.
  • No AI training on student data. Student photos and results are used only to generate the diagnosis — never to train AI models, and our AI provider is required not to retain or train on them.
  • Photos stay minimal. Images are used only for the diagnosis. Location is off by default, and we ask students not to photograph people.
  • Deletion on request. Class data is kept only as long as needed for the activity, and is deleted or returned to your board on request.

Two Ways to Set Up Student Accounts — Your Board Chooses

Pick the model that matches your board’s privacy and IT requirements.

Option A — Shared class accounts (fastest, lowest data)

Lowest data and quickest to launch. We create a small number of shared class logins with a common password and a shared upload quota. Because logins aren’t tied to individual student identities, this collects the least personal information. It’s intended for supervised, in-class use where activity isn’t attributed to a named student. No student names or profiles required.

Option B — Per-student accounts (individual, attributable)

Individual accounts, typically via your board’s single sign-on or a class roster. Each student gets their own login, their work stays separate, and you can export or delete an individual student’s data on request. Choose this where your board needs individual accountability or integration with existing school accounts.

Either way, student data is stored in Canada, is never used to train AI models, and is deleted or returned to your board on request. Your board decides which model to use as part of setup.

Common Questions from Boards

Short answers for privacy officers and IT teams. Full detail is in the Schools section of our Privacy Policy.

Who is the data custodian?

For school deployments, the school board is the custodian of student personal information. STEM Minds Corp. acts as a service provider, processing data only on the board’s instructions and only to deliver the Service.

What personal information is collected from students?

For classroom use, we collect the plant photos students upload and the resulting diagnosis records. No student names, email addresses, or personal profiles are required. Location is off by default.

Is student data used to train AI models?

No. Student photos and results are used only to generate the diagnosis. We do not use student data to train or improve AI models, and we contractually require our AI provider not to retain or train on it.

Where is student data stored?

Student data is stored and processed in Canada. We will not transfer student personal information outside Canada without your board’s written authorization.

How is data deleted?

Class data is retained only as long as needed for the activity. On termination of a board agreement, we delete or return student personal information within 30 days and provide an export on request.

What happens if there’s a data breach?

If a breach affecting student personal information is confirmed, we notify your board without undue delay and within 72 hours, and follow applicable legal breach-notification requirements.
